Maintenance and facilities terms

Version 1In force since 15/10/2026

1. Scope

These terms govern the maintenance and facilities management section: registering properties, units, assets and warranties, work orders, periodic plans, ready maintenance packages, operating contracts, stores and purchasing, seasonal rental and the technician app. They are read with the general terms and the payments, escrow and commission terms.

2. Property and its data

  1. The owner, or a person they authorise, adds the property with its types, floors, units and assets, and must keep its data accurate and have standing in it.
  2. Each national short address has one building on the Platform; someone who owns a unit in a building registered to another account registers it as an independent unit in their own account without creating a new building.
  3. The account holding a building, its units and assets changes only by a handover report or a transfer by building code under its procedure, and the transfer may be reversed within the set period.
  4. Warranty status, repair-or-replace advice and maintenance reminders are helpful alerts; inspecting and looking after assets remains the owner's responsibility.

3. Work orders

  1. A work order is opened with a description of the problem, its location and photos, and assigned to the account's team or a provider, who may accept or decline it.
  2. The agreed appointment is binding, and it is moved only by a new appointment with a recorded reason. In buildings with restricted access, entry permission is requested from the reporter or the account manager.
  3. A technician's arrival is proved by a photo from the technician app camera with its time and location, together with a scan of the place code or a statement that it could not be scanned. Photos from the device's gallery are not accepted. A minimum visit duration may apply.
  4. Completion is proved by camera photos and the provider's report, then confirmed or disputed by the reporter, who may rate the service.
  5. Additional cost lines (such as materials and work not covered) appear as proposed until the party bearing them agrees, and an order does not start or complete while a line awaits agreement.
  6. A before-and-after photo report prepared by a smart agent may be shown where the account has enabled it; it is a suggestion that changes neither the order, its confirmation nor its payment.

4. Plans and calendar

Periodic plans generate work orders on the dates calculated by the plans engine, taking working days into account. Postponing or cancelling an occurrence is a single decision with a reason and is not edited afterwards.

5. Ready maintenance packages

  1. A package is an option alongside an ordinary request, priced per billable unit per year in the country's currency, with an approved provider in the city.
  2. The package offer is fixed as a snapshot when requested. The provider's acceptance creates the package contract, and a separate inspection fee may be payable that is not deducted from the package value.
  3. The contract is signed with the billing method and payer shown, which generates the year's payments and visit plans. The balance of "on demand" services is counted against work orders assigned to the contract's provider.
  4. Renewal is a new request at that day's price; early termination is through its tool and under its conditions, and for an owners association by a formal decision naming the contract.

6. Operating contracts

An operating contract between an account and a provider sets the scope, timing and levels of services, drives plans and automatic assignment, and the provider's performance is assessed by its published indicators.

7. Stores and purchasing

Stock, custody and movements are written only through their tools, a purchase order goes through the approval set in the account's settings, and materials are issued to a work order from an approved request. The accuracy of stocktaking is the account's responsibility.

8. Seasonal rental

The section supports furnishing, handover and inventory lists and maintenance obligations for a season between lessor and lessee, without a lease or deposit on the Platform. An agreed version of the obligations does not change; an amendment is a new version accepted by the lessee.

9. Technician app

  1. The app runs on the device and keeps operations and their photos in the device queue until the network sends them, sending them in order with their capture time.
  2. The technician must take live photos at the location itself, must not share their device or session, and must sign out on shared devices.
  3. A technician from outside the account is not shown who reported the issue and sees only what is needed to reach the location.

10. Responsibility of the parties

The provider is responsible for the quality and safety of the work, the spare parts it installs and its warranty. The property owner is responsible for giving access and for its repair and replacement decisions. Qitaat does not perform or guarantee the work.
